- Conference Data: Registration details, paper submissions, review assignments, and attendance records.
- Payment Data: Transaction amounts and PayPal order IDs. We do not store credit card numbers.
- Usage Data: Session attendance logs for certificate eligibility.
2. How We Use Your Data
- To manage your conference registration and membership.
- To process payments and issue invoices.
- To facilitate the peer review process.
- To send transactional emails (registration confirmations, review notifications).
- To generate attendance certificates.
- To enable networking features between conference attendees (opt-in only).
3. Data Sharing
We do not sell your personal data. Your information may be shared with:
- Conference organizers for event management purposes.
- PayPal for payment processing.
- Other attendees only if you opt in to the networking hub and messaging features.
4. Your Rights (GDPR & International)
You have the right to:
- Access your personal data — use the "Export My Data" feature in your profile.
- Rectify inaccurate data — update your profile at any time.
- Delete your account and all associated data — use the "Delete My Account" feature.
- Object to processing — contact us to opt out of non-essential communications.
- Data Portability — download your data in JSON format.
5. Data Retention
We retain your data for as long as your account is active. Conference records (submissions, reviews) are retained for academic record-keeping purposes. You may request full deletion at any time.
6. Cookies
We use essential cookies for:
- Session management — to keep you logged in.
- CSRF protection — to secure form submissions.
- Language preference — to remember your selected language.
We do not use tracking or advertising cookies.
7. Security
All data is transmitted over HTTPS with TLS encryption. We use HSTS, secure cookies, and CSRF protection. Passwords are stored using Django's PBKDF2 hashing.
